Our Relationship With WorldVia

VM Retreats is an independently owned and operated travel business affiliated with WorldVia Travel Network. VM Retreats operates as an independent travel advisor and is not an employee, subsidiary, or separately owned division of WorldVia Travel Network.

Travel arrangements are booked using WorldVia Travel Network’s credentials and through participating travel suppliers.

Role of Travel Suppliers

Airlines, cruise lines, hotels, resorts, tour operators, transportation providers, excursion operators, travel-insurance providers, and other companies providing travel products or services are independent suppliers. VM Retreats and WorldVia Travel Network do not own, operate, manage, or control these suppliers.

Each supplier maintains its own terms, conditions, payment requirements, cancellation policies, change fees, refund rules, and service standards. By approving or purchasing an itinerary, you agree to the applicable supplier terms.

VM Retreats is not responsible for the acts, omissions, delays, cancellations, schedule changes, overbooking, service failures, property conditions, baggage issues, injuries, losses, or other conduct of an independent travel supplier.

Prices and Availability

Travel prices, promotions, amenities, schedules, and availability may change without notice. A quotation does not reserve or guarantee any travel component.

Pricing and availability are confirmed only after the applicable supplier accepts the reservation and required payment. Additional taxes, resort fees, baggage fees, gratuities, local charges, currency fluctuations, or supplier-imposed fees may apply unless expressly included in writing.

Traveler Information

Travelers are responsible for reviewing all names, dates, destinations, room categories, cabin categories, flights, and other reservation details before authorizing a booking.

Names must match the traveler’s government-issued identification and travel documents exactly. Corrections made after booking may result in supplier fees, fare increases, rebooking, or cancellation.

Please notify VM Retreats promptly of any errors. VM Retreats is not responsible for costs resulting from inaccurate or incomplete information supplied by a traveler.

Passports, Visas, and Entry Requirements

Each traveler is responsible for obtaining and maintaining all documentation required for the trip, including passports, visas, permits, parental consent documents, vaccination records, and any other entry or transit documentation.

Passport-validity requirements vary by destination, and some countries require a passport to remain valid for several months beyond the planned return date. Entry requirements may also be affected by nationality, residency, criminal history, prior travel, health status, or the countries through which a traveler transits.

Travelers should verify current requirements directly through the appropriate government authorities. Entry is determined by government officials, and neither VM Retreats nor WorldVia Travel Network can guarantee that any traveler will be admitted to a destination.

Health, Safety, and Accessibility

Travel involves inherent risks. Travelers are responsible for evaluating destination conditions and determining whether a trip is appropriate for their health, mobility, and personal circumstances.

Before traveling, consult appropriate medical professionals regarding health concerns, medications, vaccinations, and fitness for travel. Travelers should also review current advisories and destination information from official sources, including the U.S. Department of State and the Centers for Disease Control and Prevention.

Please disclose accessibility or mobility needs before booking. VM Retreats will communicate disclosed requests to suppliers but cannot guarantee that a supplier or destination will provide a particular accommodation.

Travel Insurance

Travel insurance is strongly recommended. Depending on the policy selected, coverage may be available for circumstances such as trip cancellation, trip interruption, medical emergencies, evacuation, baggage loss, or travel delays.

Insurance benefits, exclusions, eligibility requirements, preexisting-condition provisions, and claim decisions are controlled exclusively by the insurance provider and the purchased policy.

If a traveler declines travel insurance, the traveler assumes responsibility for losses that insurance might otherwise have covered. Declining insurance does not alter supplier cancellation or refund policies.

Payments and Authorization

Professional service fees may be collected directly by VM Retreats through an authorized payment processor, including GHL and Stripe. Payments for travel reservations are processed through WorldVia Travel Network, its authorized systems, or the applicable travel supplier.

Clients should submit payment only through an authorized invoice, payment link, supplier checkout, or payment-authorization process provided by VM Retreats.

Providing payment information or completing a payment authorization permits the identified party to charge the approved amount. Payment authorization does not modify supplier terms or create a right to a refund.

Never send complete payment-card information through ordinary email, text message, social media, or an unsecured website form.

Planning and Professional Fees

VM Retreats may charge planning, consultation, research, itinerary-development, change, or other professional service fees. The applicable amount and scope of service will be disclosed before payment.

Professional fees compensate VM Retreats for its time, expertise, research, supplier evaluation, itinerary design, and proposal preparation. They are separate from supplier deposits, reservations, insurance premiums, and travel costs.

Unless otherwise agreed in writing, professional fees are nonrefundable once research or itinerary development begins. Additional fees may apply if a request materially changes, expands to additional travelers or destinations, requires extensive revisions, or exceeds the originally agreed scope. Any additional fee will be disclosed before the additional work begins.

Changes, Cancellations, and Refunds

All changes, cancellations, credits, and refunds are subject to the applicable supplier’s rules. Penalties may include the loss of deposits, nonrefundable charges, change fees, cancellation fees, or the full cost of the reservation.

VM Retreats may assist with submitting a cancellation, change, credit, or refund request but cannot approve or guarantee the outcome. Refund timing is controlled by the supplier and payment processor.

Travelers should not assume that a reservation has been changed or canceled until written confirmation is received.

Events Beyond Our Control

Travel may be affected by weather, natural disasters, public-health events, government actions, civil unrest, labor disputes, mechanical problems, transportation interruptions, supplier insolvency, or other circumstances outside the reasonable control of VM Retreats and WorldVia Travel Network.

When disruptions occur, VM Retreats may assist with available alternatives, but additional costs, supplier restrictions, and limitations may apply.

Electronic Communications

By submitting an inquiry or working with VM Retreats, you consent to receiving communications related to your request, consultation, itinerary, reservation, payment, and travel support through the contact information you provide.

You are responsible for supplying accurate contact information and reviewing time-sensitive messages promptly.

Privacy

Information submitted to VM Retreats may be shared with WorldVia Travel Network, travel suppliers, insurance providers, payment processors, or other service providers when reasonably necessary to research, arrange, manage, or support your travel.

Acceptance

These Travel Disclosures are incorporated into the VM Retreats Terms & Conditions. Submitting a professional fee, approving an itinerary, authorizing a reservation, or purchasing travel indicates that you have reviewed and accepted these disclosures, the VM Retreats Terms & Conditions, and the applicable supplier terms.

If a supplier’s terms apply to a particular travel product, those supplier terms control the supplier’s payment, change, cancellation, credit, and refund obligations.
